   Tips & Tricks

Dynamic Groups enable contact to automatically be added to a group or sub group by creating a query (see last issue's Tips on How to Create an Advanced Query). Therefore contact only stay in the group as long as they meet the criteria.

There are so many applications for this functionality. For example, your Mail List group could have all contacts with the Email Status=Active, the Email Address must contain something or perhaps the @ symbol (sometimes there could be dodgy information in there by mistake), must be a Customer or Prospect and they have something in the Salutation field (if you are sending personalised emails). Now when you go to send an email to your list, you just select the group!

How about a Renewal Group? Contacts with expiry date in the next 30 days would automatically be in the group so you can just check to see who needs to be sent renewal information.

Another one could be a Get Details Group with members who have a phone number but no email address. When the receptionist has some spare time, they call up the people in this group to get their details and permission to send marketing emails. Once the email address is entered, they drop out of the group! (Make sure the E-mail Status field is updated to Active so they get included in the mail list.)
