About Caswell Health Care

Caswell Health Care offer mobile physiotherapy, occupational therapy and speech pathology services to the Sydney Metropolitan area, supporting neurological rehabilitation, paediatric care and rehabilitation.

The Challenge

Caswell Health Care were looking for a way to better handle their patient records, and better manage the billing process, which was extremely complex and time consuming. They were looking for a provider who understood their concerns but could also provide solutions for a part-time, often mobile workforce who is looking after a diverse range of patients.

The Solution

Flexibility was the key concern when it came to finding a solution. An easy to use system that allowed patient records to be digitised in a way that replicated their paper based system, so that the team could still easily find the information they were looking for.

“We were looking for flexibility,” Anne Ramsay, Operations Manager of Caswell Health Care explains.

Caswell had originally found the Act! software solution and purchased the off-the-shelf version online. The team found this system easy to use, but wanted felt they needed some customisation. They called upon Act Today's expert consultants to help tailor the solution.

Act Today recommended some customisation and a shift to a remote access solution to improve processes and service response time for patients. They also identified an opportunity to streamline the billing process, by integrating Act! with MYOB (Caswell's accounting system).

The Results

With help from Act Today, Caswell solved more than one of their problems - they had digitised their customer records and they had a customised database that was both easy-to-use, fast and accessible from anywhere. But as a bonus, the Act consultant was also able to simplify their extremely complicated billing methods to streamline their billing process.

"The integration between Act! and MYOB is now seamless. We are now able to update contacts, view invoices, look up contacts and import MYOB items into Act! among many other things."
